A subscription desk, not a bookshop
Apex Subscription Pvt. Ltd. places journal, magazine, book, e-journal and database orders on behalf of institutional libraries, and has done for 17 years. A librarian sends a title list; we do the rest of the year’s work — ordering across every publisher, one invoice, confirmations, subscriber IDs, issue tracking, claims and delivery.
How we work
Every title on your list is matched to its publisher, its current ISSN and the media you want. Where a title has merged, ceased or moved online, you are told before the order goes out rather than after the first issue fails to arrive.
Orders are placed directly with publishers and their agents. Each one is followed until the publisher confirms it in writing and returns your subscriber ID, which is what makes a claim for a missing issue quick rather than a negotiation.
Everything is recorded: quotation, order, invoice, receipt, publisher confirmation, each issue as it arrives, and the challan it went out on. When your library or your auditor asks what happened to a title, the answer is on file.

What a library gets from consolidating
One invoice, one payment
Forty titles from twenty publishers close as a single file, with GST shown line by line. Your accounts department raises one voucher instead of twenty.
A renewal calendar that holds
Renewal dates sit with us, not in a spreadsheet that leaves with a colleague. You are reminded before the window closes, not after a gap appears in the volume.
Evidence for accreditation
Invoices, receipts, subscriber IDs and issue records are all retrievable, which is what an inspection or an audit actually asks to see.
Claims that get answered
A claim quoting the publisher’s own subscriber ID and order reference moves faster than an email from an address the publisher does not recognise.
Fewer surprises on rates
Publisher revisions and currency movement are passed on at cost with the publisher’s notice attached, so a rise can be checked rather than taken on trust.
Delivery you can trace
Issues go out against a challan. A recipient can confirm delivery on this site, which settles most “we never received it” questions in a minute.
We supply the records and the evidence. Whether an accrediting body accepts them is the body’s decision, not something any agency can promise.
